MADE Hoops policies

Privacy Policy

Last updated

This policy explains what personal information MADE Hoops holds, both about the coaches and staff who use our scouting platform and about the players it covers: where it comes from, how we use it, who can see it, and how to ask us to correct or remove it.

Many of the players are minors, so we’ve tried to make every part of it plain.

01 Who we are

The MADE Hoops scouting platform is run by MADE Hoops, a grassroots basketball events and scouting company. In this policy, “MADE Hoops”, “we” and “us” mean MADE Sports LLC.

This policy covers two groups of people:

  • People who use the platform: visitors, coaches and staff who ask for access or have an account, and anyone who sends us a message.
  • The players the platform covers, and the parents, guardians, coaches and others connected to them.

Our Data Policy goes into more detail about player information, and our Cookie Policy lists every cookie the site uses.

02 What we collect from you

When you ask for access

Our request form asks for your school or program, your first and last name, your email address and phone number, the features you’re interested in, and anything else you’d like to tell us. We also note which plan or page brought you to the form.

When you send us a message

Our contact form asks for your name, your email address, your school or organization if you’d like to give it, a topic and your message. If you’re signed in, we note which account sent it.

With both forms, to limit spam, we also keep your browser’s description of itself (its “user agent”) and a scrambled code made from your IP address with a secret key, not the address itself, used only to count requests.

When you have an account

Our team sets up your account with your name, email address, organization and title, your plan, and whether the account is active. Our sign-in provider stores your email address and your password, which is kept only in a scrambled (hashed) form that no one can read, and records when you sign in, with your IP address and browser, to keep accounts secure. We note when you first sign in.

When you use the site

  • Cookies. We set a few cookies to keep you signed in. The Cookie Policy lists them all.
  • Your lists stay with you. Saved players, recently viewed players and My Board, with its tiers and notes, are kept in your own browser. We never receive your notes. To show your saved players, your browser sends us their profile addresses, which we use to look them up and don’t keep. Our usage records (below) do note each player you save or remove, and when you move a player between tiers or write a note, though never what a note says.
  • How the platform is used. We keep usage records of what people do on the platform: the pages and tabs they view, including which player profiles; what they search for, including the words typed; the filters they use; the players they open in a quick look; how many players they compare; the players they save to or remove from My Board, and when they move a player between tiers or write a note (never what the note says); the locked features they click; and when they ask for access, sign in or set a password. A member’s records carry their account, team, plan and kind of device (phone, tablet or computer), and we note when each member was last on the platform. A visitor who isn’t signed in is recorded only under a code made from their address and browser that changes every day, so one day’s visits can’t be linked to the next; we never store the address itself, and no cookie is used. We don’t act on Do Not Track signals, but if your browser sends a Global Privacy Control signal, we don’t record the pages you view or what you click while you’re signed out (a request for access you send is still counted). Only MADE’s staff can see usage records. They’re stored with the rest of our data (see Who we share it with), and we don’t share them with advertisers or anyone else. Our hosting and database providers keep their own technical logs, which can include IP addresses, to run and protect their services.

Feedback from testers

People testing a private version of the platform could send us feedback, with the page they were on, their screen size and browser, and an optional screenshot. We keep it with the tester’s account, and it’s posted to our team’s Slack. The public site doesn’t collect feedback.

03 Information about players

The platform holds profiles of high school and college basketball players. For a high school player, that can include:

  • name, class (year of graduation), position, height and weight, hometown, school and teams;
  • MADE Hoops’ ratings, rankings, scouting reports and intel, and the MADE events the player has played in;
  • injuries, surgeries, illness and recovery, where a scouting report, note or intel item mentions them, as part of the player’s evaluation;
  • the college the player has committed to or listed interest in, social media usernames, and a photo;
  • private details that only MADE staff can see: the player’s email address and phone number, date of birth, GPA and academic status, and the names, email addresses and phone numbers of their parents, guardians and other key contacts, such as coaches, trainers and agents.

For college players, it holds roster details, statistics and transfer portal information for men’s Division I.

Where it comes from. Most high school information comes from madehoops.com, MADE Hoops’ main website, where players and parents set up profiles and our scouts publish their work. College information comes from a statistics provider, CollegeBasketballData.com, and from schools’ official athletics websites. The Data Policy lists every source.

04 How we use information

We use personal information to:

  • run the platform and show each member what their plan includes;
  • review requests for access, and set up and manage accounts;
  • answer messages and requests;
  • produce MADE Hoops’ scouting work: profiles, ratings, rankings, reports and intel;
  • keep the platform secure, limit spam, and keep track of who views private details;
  • see how the platform is used, so we can improve it and decide what to build next, and find and fix errors;
  • meet our legal obligations and enforce our terms.

We don’t use anyone’s information for advertising, and the platform doesn’t send marketing emails.

05 Who we share it with

We share personal information only in these ways:

  • With members. Coaches and staff with a plan see player information as their plan allows (see Who can see player information). They don’t see the contact details we hold for players and their families, though they do see players’ social media usernames.
  • With our service providers, which run parts of the platform for us and handle information only to provide their service. They’re listed below.
  • When the law requires it, or when we need to protect the rights or safety of players, members, MADE Hoops or others.
  • If our business changes hands. If MADE Hoops is merged, sold or reorganized, information may pass to the new owner, who must keep honoring this policy.

Our service providers are:

  • Supabase, for our database, sign-in and file storage, in the United States. It also sends our password reset emails;
  • Render, which hosts the website, in the United States;
  • Slack, our team’s workspace, where new access requests, contact messages and testers’ feedback, with any screenshot, are posted so we can answer them; and
  • Sentry, which receives reports of errors on the site, when error reporting is turned on, so we can fix them. A report carries the page’s address, with any private codes and searches taken out, and we send no cookies, IP addresses or account details with it.

We don’t give personal information to advertisers or data brokers. If you’re in California, see California privacy rights for how the law there treats members’ access to player profiles.

06 Who can see player information

  • Visitors, and members whose organization doesn’t have a plan, see previews: the names, classes and photos of high school players, each class’s top three in our rankings with a few details, and the names, jersey numbers and photos of college players. Full profiles are only for members, and we ask search engines not to index the previews.
  • Silver members see high school profiles, ratings, rankings, reports and intel for players in the United States.
  • Gold adds college players, the transfer portal, players outside the United States, the colleges players list interest in, and agents’ names.
  • Platinum adds transfer portal fit scores and article headlines.
  • MADE staff can see everything, including private details. Each time a staff member opens a player’s private details, the platform records it.

Below staff, we take phone numbers, email addresses and the names we have on file for players’ parents and key contacts out of notes, reports and intel before they reach anyone’s browser. Agents’ names are the exception, shown from Gold. This is done automatically, so it can miss something written in an unusual way; if you see something that should have been taken out, tell us and we’ll remove it. The Data Policy sets this out as a table.

07 How long we keep it

Apart from usage records, we haven’t set fixed retention periods yet. We keep personal information for as long as the platform needs it, and we delete it when you ask us to (see Your choices and requests), unless we need to keep it to meet a legal obligation, resolve a dispute or enforce our terms. Here’s what we can say today:

  • Your sign-in session

    How long we keep it
    Until 30 days after your last visit, or until you close your browser if you left “Keep me signed in” unticked. Signing out ends it straight away.
  • Saved players, recent players and My Board

    How long we keep it
    In your browser until you remove them or clear this site’s data. We don’t hold a copy, though our usage records note which players were saved or removed.
  • Usage records

    How long we keep it
    Each record for 180 days. After that only daily totals remain: how often each page and action was used, by plan and team, with no one’s individual visits.
  • When you were last on the platform

    How long we keep it
    With your account, updated as you use the platform.
  • Access requests and contact messages

    How long we keep it
    While we need them to answer you and manage accounts. Deleted on request, together with the copies posted to our team’s Slack.
  • Feedback from testers

    How long we keep it
    While we work through it. Deleted on request, together with its screenshot and the copy posted to our team’s Slack.
  • Member accounts

    How long we keep it
    While you’re a member, and after that until you ask us to delete the account.
  • Player profiles

    How long we keep it
    While the platform covers the player. Hidden or deleted on request, as the Data Policy explains.
  • Records of staff viewing private details

    How long we keep it
    Kept so we can check how private details are used. If a player’s profile is deleted, these records stay but no longer say which player.
  • Backups and working copies of our database

    How long we keep it
    [how long we keep backup copies]. They include private details, and a deleted record can stay in them until then (see our Data Policy).

08 Security

We protect personal information with measures that include:

  • No direct access to the database. Browsers never connect to our database. Every request goes through our own server, which checks who’s asking and what their plan allows before it reads anything, and the database turns away every other kind of access.
  • Checks on the server. Plan limits are enforced on our server, so a preview never contains the real information behind it, and player photos are sent only after the same check.
  • Private details kept to staff. Players’ and families’ contact details, dates of birth and academic records are visible only to MADE staff, and every view of them on the platform is recorded.
  • Protected sign-in. Signing in happens between our server and our sign-in provider, never directly from your browser. Our session cookies can’t be read by scripts on the page.
  • Encryption in transit. The site is served over encrypted (HTTPS) connections, and the connection between our server and our database is encrypted too.
  • Secrets kept off the page. The keys to our services stay on our server, and our code is checked automatically to make sure none of them can reach a browser.
  • Copies kept encrypted. For backups and development, we keep full copies of our database, private details included, on our own encrypted computers. They’re never shared.

No system is perfectly secure. If you think you’ve found a weakness, please tell us through the contact form. If a security breach affects your information, we’ll notify you and the authorities as the law requires.

09 Children and young players

Most of the high school players on the platform are under 18, and some are under 13. We take extra care with their information.

Parents and guardians

A parent or guardian can ask us at any time to see, hide or delete what we hold about their child. Use our contact form and choose Privacy or data request, or Player profile correction to fix a mistake.

  • Players don’t have accounts here. Accounts are only for adult coaches and staff, and we don’t knowingly collect personal information directly from children through this site.
  • Where their information comes from. It comes from madehoops.com, where players and parents set up profiles, from MADE events and scouts, and from the other sources listed in our Data Policy.
  • What stays private. Contact details, dates of birth and school grades are never shown to members. The public previews show a high school player’s name, class and photo, and a few more details for each class’s top three.
  • Players under 13. If a player is under 13 and a parent or guardian asks, we’ll hide their profile first, and then delete it as our Data Policy describes.

10 Your choices and requests

Wherever you live, you can ask us to:

  • show you the personal information we hold about you, or about your child, and give you a copy;
  • correct anything that’s wrong or out of date; or
  • delete it, or hide a high school player’s profile so it no longer appears on the platform.

Hiding a profile lasts. Most player information comes from madehoops.com, though, so a correction or a deletion made only here can be undone by our next update from there. Our Data Policy explains how we handle that.

How to ask. Use our contact form and choose Privacy or data request, or Player profile correction to fix a mistake on a player’s profile. You can also email us at info@madehoops.com. Tell us whose information it is and what you’d like us to do.

Checking it’s you. Before we act, we may need to confirm who you are, or that you’re the player’s parent or guardian. We’ll ask only for what we need to do that, and use it for nothing else.

Our reply. We’ll answer as soon as we can, and within 45 days, or within 90 if we tell you in that time that we need longer. If we can’t do what you’ve asked, for example because the law requires us to keep something, we’ll tell you why.

Members can’t change their account details on the site yet. Ask us and we’ll update them, or close your account if you’d like.

11 California privacy rights

If you live in California, the California Consumer Privacy Act, as amended by the California Privacy Rights Act, gives you rights over your personal information. This section is our notice under that law, and applies alongside the rest of this policy.

Your rights

  • Know and access. You can ask what personal information we’ve collected about you, where it came from, why we use it and who we’ve disclosed it to, and ask for a copy.
  • Delete. You can ask us to delete it, subject to exceptions the law allows.
  • Correct. You can ask us to correct information that’s inaccurate.
  • Opt out of selling and sharing. You can tell us not to sell or share your personal information (see below).
  • Limit the use of sensitive information. The sensitive personal information we hold is members’ logins, which we use only to sign them in, and health information about players, such as injuries and recovery mentioned in scouting reports and intel, which members can read as part of a player’s evaluation. [how the right to limit applies to players’ health information: counsel]
  • No discrimination. We won’t treat you differently for using any of these rights.

Selling and sharing

The site runs no advertising trackers, and its usage records stay with MADE. [sale and sharing statement, including Global Privacy Control: counsel]

[whether we’ve sold or shared personal information in the past 12 months: counsel] [whether we sell or share the personal information of consumers under 16: counsel]

Members pay for plans that let them view player profiles. If you don’t want a player’s profile to be seen by members, the player or a parent or guardian can ask us to hide it, wherever they live, and we will.

Making a request

Use our contact form and choose Privacy or data request, or email us at info@madehoops.com. We’ll confirm that we’ve received your request within 10 business days, and answer it within 45 days, or within 90 if we tell you in that time that we need longer, with the reason.

Verification. We check a request by matching what you tell us against what we hold. For a player’s information, we may ask a parent or guardian to confirm their relationship to the player.

Authorized agents. Someone you’ve authorized can make a request for you if they show us your signed permission. We may still confirm the request with you directly.

What we’ve collected in the past 12 months

These are the categories of personal information, as the law groups them, that we’ve collected in the past 12 months. We use them for the purposes under How we use information, and keep them as How long we keep it describes.

Shine the Light

California’s “Shine the Light” law lets residents ask about personal information a business has given to third parties for their own direct marketing. We don’t give personal information to anyone for that purpose.

12 Where information is stored

The platform stores and processes information in the United States, where our database and website are hosted. If you, or a player you’re asking about, are outside the United States, the information is still stored and handled in the United States.

13 Changes to this policy

We’ll update this policy as the platform changes. The date at the top shows when it last changed. If a change is significant, we’ll put a notice on the platform and email members before it takes effect.

14 Contact

Questions about this policy, and requests about your own information or a player’s, are welcome at any time.
